WE ARE NOT ABLE TO ACCEPT ANY LATE ABSTRACT SUBMISSIONS

When should I submit my abstract?
Oral abstract submission is now closed. The deadline for poster abstracts is on the 16 April 2018.

How do I submit an abstract?
Submit your abstract online using the online submission system. You will need to submit a text only abstract online using the link on the website. Your abstract must be no more than 600 words.  You can include your images in your abstract by uploading them during the submission process.

How many posters can I present at the congress?
The maximum number of posters that can be submitted and presented by one author is 2.

How can I receive the outcome of my oral/poster abstract submission prior to the deadline?
We regret that it is not possible to fast track abstract reviews prior to the deadlines given.

I submitted an abstract, but now I am unable to attend and present it at the conference. Can a co-author/colleague present it on my behalf?
A co-author/colleague may present the material for you, subject to timetabling restrictions where presenters are giving multiple presentations. It is essential that you inform the Events Team of the name of the new presenting author as soon as possible so that the programme can be amended.

I have submitted my abstract and received confirmation of receipt, but I now need to submit a revised abstract. Should I submit the revision as a new submission?
If you wish to revise your abstract in any way please DO NOT submit a new abstract. Please access your account on the abstract submission system and click on the ‘amend’ button next to your submission to amend any details. Amendments can be made until the abstract submission deadline. For orals this is 19 February and for posters 16 April.

Minor changes to authors or abstract title can be made after the deadline by emailing ecc7@rsc.org. No other changes will be accepted.

I am unable to attend the conference. Can I still submit my abstract for publication in the conference abstract book?
If none of the authors is available to present the work on site at the conference, please do not make a submission. Only abstracts to be presented at the conference by a registered delegate will be included in the conference programme and abstract book. We do not allow abstracts to be published in the conference materials without an attending author.

When will I be informed of the outcome of my submission?
For oral submissions you will be informed of the outcome within 6 weeks of the submission closing date. For poster submissions you will be informed of the outcome within 3 weeks of the submission closing date.

My abstract has been accepted, but I now need to withdraw it. How do I do this?
Please let the Events Team know as soon as possible by emailing ecc7@rsc.org, in order that we can update the programme.

My abstract has been accepted. When should I register to attend?
To benefit from the discounts available, please register by the early bird deadline of 4 June 2018. You must register by 4 June 2018 in order to be included in the electronic book of abstracts. Registration after this date will result in your abstract being excluded from the book.

My oral abstract has been accepted. Do I need to submit a full paper in advance of the conference?
No. The abstract that you have submitted will be included in the electronic abstract book and will be available to view from the conference website. No full paper is required.

Will the abstracts be available to download after the conference?
The abstracts will not be available to download from our website but an interactive programme will be available where all abstracts can be viewed.  All delegates will receive the abstracts on a USB stick/flash drive onsite at the congress.

Will conference proceedings be published and will they be available to purchase?
There are no plans to print proceedings of the congress and so these are not available for purchase.

How do I get my poster number?
Poster numbers will be issued on site, they will not be sent in advance.

Visa information

How do I apply for a visa?

All international attendees must have a valid passport (or National Identity card for EEA citizens) from their country of origin in order to travel to the UK. It is the responsibility of the individual to ensure that their passport and travel documents are valid.

We advise you to apply as early as possible as the visa application process can take a long time during busy periods. The RSC can take no responsibility for late applications. The RSC is unable to follow up your application on your behalf or to enter into correspondence directly with consulates and embassies. Your visa application is your sole responsibility and does not guarantee entry into the United Kingdom.

In the event that your visa application is denied please notify us as soon as possible, and no later than 1 week before the start of the conference. Requests for refunds received after this date may not be eligible for a refund. If your visa is delayed by the visa processing office and will not arrive before the start of the conference, upon proof of timely application a refund may still be possible.

If you are giving an oral presentation at the congress, please notify us as soon as you know that your visa has been denied (or if you think that it may be so delayed as to prevent you from travelling) in order that we can find a replacement speaker or adjust the programme as necessary.

How do I get a letter of invitation?
You can request a letter of invitation during the online registration process. Please note that the letter of invitation will only state that you are invited to attend the congress. We cannot include information about your passport or any other unverifiable data.

A letter of invitation will only be provided once you have registered for the conference and your payment has cleared. The letter will be sent by email as a pdf document only. In the event that your visa is denied, upon receipt of a copy of the rejection letter, proof of timely application and that rejection was for reasons outside your control a full refund will be given. Late applications will not be eligible for refunds. We reserve the right to refuse to provide a letter of invitation without giving reason.

What happens to my registration fee if my visa application is rejected?
In the event that your visa is denied, please provide a copy of your rejection letter and proof of the date you made your application. We will then consider whether you are eligible for a full refund based on the reasons given for rejection. Refunds are only given when your visa is denied due to reasons beyond your control.

Accommodation

How do I book my accommodation?

It is not possible to book accommodation during the registration process.
Accommodation can be booked for the conference via Liverpool Convention Bureau who have obtained competitive rates at a variety of hotels and apartments for EuCheMS delegates – the link for this website can also be found during online registration . Any bookings and payments are made direct to the accommodation provider, not the Royal Society of Chemistry, and all queries and requests, including requests for payment receipts, must be made direct to them.

Rooms are available at the preferred rate for conference delegates until 17 July 2018. After this date there is no guarantee of room availability or pricing, so early booking is recommended.

SCAM accommodation/travel provider

A company named Exhibitor Housing Services (EHS) is contacting speakers and delegates of the EuCheMS Congress claiming that they are attached to the 7th EuCheMS Congress with a fraudulent travel and hotel booking scheme. The company is calling / emailing attendees with regards to their accommodation and travel and encouraging bookings. The company makes various false claims, such as hotel rooms are running out and must be booked as soon as possible.

The company is in no way affiliated to the 7th EuCheMS Chemistry Congress or the Royal Society of Chemistry.

Please be aware that this is a SCAM and you should exercise extreme caution when contacted by EHS. We recommend that you DO NOT interact with this company in any way and do not provide them with any personal or financial information, or any details of your accommodation booking.

What opportunities are there for receiving funding to attend the conference?

Attendees of the 7th EuCheMS Chemistry Congress you can also get a discount on registration for the 5th RSC Early Career Symposium. A limited number of grants are also available to attendees of both events. Further information can be found here.

I have applied for a bursary, when will I receive my money?
If you have applied for an RSC bursary please contact funding@rsc.org. For other funding or bursaries, please contact the funding provider directly.

When will I receive joining instructions?
Joining instructions will be sent to all delegates approximately 2-3 weeks before the conference.

Will my badge and delegate pack be sent in advance?
You will not receive your badge or delegate pack in advance but will be able to collect these from the registration desk on site.

What if I lose my badge during the event?
You will not be granted access to the venue and cannot attend any of the congress sessions without your badge. ACC security will direct you to the registration desk to request a replacement badge so please have your proof of registration ready.

Will I receive a full list of participants including their mailing addresses?

We are not providing a participants list for the congress.

I am unable to come to the registration session at the start of the conference. Can I register at a later stage?
Yes, the conference information and registration desk will be staffed throughout the conference for queries and late registration.

Will the abstracts be available to download from the website?
The abstracts will not be available to download from our website but an interactive programme will be available where all abstracts can be viewed.  All delegates will receive the abstracts on a USB stick/flash drive onsite at the congress.

I can't attend but would like the final programme and abstract book. Can I purchase them?
Unfortunately the final programme and abstract book are only available to those who have paid to attend the congress. Conference materials will not be on sale separately.

Will conference proceedings be published and will they be available to purchase?
There are no plans to print proceedings of the congress and so these are not available for purchase.

Will there be internet access on site?
Wireless internet access will be available throughout ACC Liverpool. Click on FREE_WIFI. No password is required.

Are there printing facilities on site?
ACC Liverpool provide a printing service on site, for which there will be a charge, but please note that due to the number of delegates attending the congress the printing service is likely to be very busy so it is advisable to bring your poster with you.

Where can I buy lunch?
Lunch is included in the registration package and will be served in the exhibition hall. Food may also be purchased from the onsite catering outlets.

Is there a specific dress code for the conference, or for specific events?
No, there is no specific dress code for any of the events although most ticket holders will be wearing smart casual or evening wear for the Congress Banquet.

Will there be a prayer/quiet room available for my use?
We will provide a room during congress hours for the use of all delegates for prayer or quiet time. This room will be not be bookable in advance. Please speak to a member of Royal Society of Chemistry staff on site if you wish to use this room.

How do I get a certificate of attendance?
You should request this during online registration to be collected onsite. If you don’t request a certificate in advance you won’t be able to receive one onsite.

What is the weather like in Liverpool in August?
The average temperature for this time of year is 16°C with a high of 20°C, although this can of course fluctuate. The weather is unpredictable even during the summer months and there is a chance of occasional rain.

Can I bring my children and are there any crèche facilities?
You may bring children to the congress, however they may not attend any of the scientific sessions and must be accompanied by an adult at all times. Babies and infants can stay with parents/guardians during the scientific sessions. There are no childcare facilities on site. The Local City Council provides some information on childcare facilities within Liverpool.

Will there be coat/luggage storage available?
There will be coat/luggage storage facilities available on Sunday & Thursday at the conference venue, for which a charge will be made, however security staff will be operating baggage checks upon entry to the ACC. Delegates will need their conference badge in order to use these facilities.

If possible, please leave your luggage at your hotel. Most hotels will hold your luggage prior to check-in or after check-out until you depart.

If I am ill or have an accident what should I do?
If it is an emergency (life-threatening) then please call 999 or 112. Please only use this number if you feel that the situation is urgent. For non-emergencies and general medical advice please call NHS Direct by dialling 111.

If you are a visitor from the European Economic Area (EEA) and you fall ill or have a medical emergency during your temporary stay in England, then you'll need a valid European Health Insurance Card (EHIC) issued by your home country. If you can't show a valid EHIC, you may be charged for your treatment.

The EHIC is not an alternative to travel insurance

Electricity
Power in UK is 230V. Please bring your own travel adaptor as these will not be available from the registration desk.

Plug Type G – 3 rectangular blades in a triangular pattern.

Remember to switch the socket on at the wall.

Can I get a press pass to attend the conference?

Networking

Will there be a chance for delegates to network?
Delegates will be able to network at all the session breaks, poster sessions and social events.

What social events are planned?
The main social event is the Congress Banquet on Wednesday 29 August which should be booked during registration. There is also a Welcome Reception on Sunday evening and entertainment on Monday evening.

Additional Activities

Will there be any social tours outside of the Congress?
A list of social tours outside of the Congress will be announced shortly. These will include walking tours and outings and will be available to book in advance and on site, subject to availability.

I am a speaker; what format should my oral presentation be in?
Presentation laptops will be provided by ACC Liverpool in each room. Each laptop runs Windows 10 and is supplied with Microsoft Office 365.

Any presentations containing movie or video clips will require a copy of the video file as well as the PowerPoint file. If your presentation contains audio, please notify the technician in advance so that they can make provision for an audio connection to the show computer. ACC Liverpool support most movie files however the most reliable are files with the .mp4 extension. Please avoid Quicktime .mov files.

When choosing fonts for your presentation please ensure they are supported by Microsoft Office.

Presentations created on Apple Macintosh computers must be saved as a PC formal file (.ppt or .pptx) and it is advisable to evaluate the presentation on a PC prior to attending the congress.

Slides should be formatted for 4:3 ratio or, for plenary rooms 16:9 ratio. We suggest that you prepare your presentation in both formats if preparing well in advance. Closer to the time of the congress you will be able to check the programme for room allocation.

Speakers should bring their presentations on a USB memory stick or CD/DVD.

When should I load up my presentation on site?
There will be a staffed, dedicated speaker preview room at the Congress. Presentations should be uploaded a minimum of 1 day before your talk.

How do I load up my presentation on site?
Please load your presentation from your memory stick/USB/Flash drive on to the central computer system at the ACC. You will need to visit the designated speaker preview room to do this and a technician will be available to assist you. Your presentation will then be sent to the appropriate lecture theatre in time for your talk.

Can I give my presentation from my own laptop?
All presentations must be uploaded in advance so it will not be possible to use your own laptop.

My poster abstract has been accepted. Do I need to send my poster in advance?
No, please do not send your poster in advance as the conference staff are unable to transport it for you. Please bring it with you to the conference where hanging materials will be provided.

Are there printing facilities on site?
ACC Liverpool provide a printing service on site, for which there will be a charge, but please note that due to the number of delegates attending the congress the printing service is likely to be very busy so it is advisable to bring your poster with you.

I am unable to attend the conference. Can I send my poster to the conference office and have it put up for me?
Posters must be manned by a presenting or co-author. The conference staff cannot do this on your behalf. If none of the authors can attend please let the Events Team know as soon as possible so that your abstract can be withdrawn from the programme.

What size are the poster boards?
The poster boards are 2 metres high and 1 metre wide.

How do I attach my poster to the board?
Each board will have Velcro strips/dots which you can use. Drawing/push pins must not be used.

Registration fees and deadlines

When is the registration deadline?
Early bird registration closes on 4 June and standard registration closes on 16 July 2018.

Do I need to be a EuCheMS member to attend the conference?
You do not need to be a member to attend this event.  The conference is open to everyone.

Can we get a discount for a group registration?
Group registration is not available for this congress.

What is included in my registration fee?

Are there any volunteer opportunities available?
There are currently no opportunities to volunteer at the congress.

Payment

When and how do I need to pay my registration fee?

The easiest way is to register online and pay by credit card. Payment can also be made by bank transfer.  Please select ‘invoice’ as the payment method if paying by bank transfer - all payments must have cleared two weeks before the start of the congress or your registration will be cancelled.

Do I have to register in advance or can I register on site?

It is advisable to register in advance to secure your place at the conference. However, you will be able to register on site, subject to availability. Registration on site must be paid by credit card.

I need to submit a purchase order for my registration costs. Can I still register online?

Please register online and include the purchase order number on the bookers page.  Please select the ‘invoice’ payment option. Do not email us a copy of your purchase order. Please note that all payments must be received at least two weeks prior to the conference in order to secure your place, or your registration will be cancelled.

I have a promotional code entitling me to a discounted registration fee; how do I use this?

Please enter your promotional when prompted to do so on the online registration system. Your fees will be amended accordingly.

Will I automatically get a receipt for my registration fee?

If paying by credit card you will receive a confirmation email from Worldpay.  If you require a formal receipt please contact the Events Team by emailing ecc7@rsc.org.

I have registered but I notice that my invoice is not for the correct amount. What should I do?

Please contact the Events Team immediately by emailing ecc7@rsc.org, informing them of the error so that it can be rectified straight away.

I am unable to come to the registration session at the start of the conference. Can I register at a later stage?

Yes, the conference information and registration desk will be staffed throughout the conference for queries and late registration.

Registration Confirmation

The conference is less than two weeks away and I still haven't received confirmation documents. What should I do?
Please contact the Events Team immediately to confirm your registration and to receive any registration documents and joining instructions.

Optional Extras

Do I have to book to attend the different sessions?
Seats are available for each room on a first come first served basis. Sessions cannot be booked but you may create a personal session planner via the website closer to the time of the congress.

I didn't book any optional extras when I made my original registration, but I want to add them on now. How do I do this?
Please amend your online registration by using the link in your confirmation email, and edit your booking details. Booking amendment will only be available up until the standard registration deadline.

Can I purchase tickets to the conference banquet on site?
Tickets for the conference banquet are limited so you are advised to book early in order to secure your place. You should book your ticket during the online registration process. If you have already completed registration you may return to your booking and add the banquet ticket on, subject to availability. Any unsold tickets will be available to purchase on site.

Cancellation

What is the cancellation policy?
Please refer to the full terms and conditions of registration. Cancellations received before 16 July 2018 will be eligible for a partial refund (subject to a 25% administrative charge). Cancellations after this date will not be eligible for a refund. You may transfer your registration to someone else at no cost. If you wish to cancel your registration, please contact the Events Team by emailing ecc7@rsc.org.

I am not yet sure if I can definitely attend the conference. Can I register now and then cancel later, or just not turn up at the conference?
It is best to wait until you are sure that you can attend as you may incur a cancellation charge if you register and then cancel at a later date. If you register but do not attend, no refund will be given.

I have to cancel my place at the conference. Can a colleague attend in my place?
Yes. Please inform the Events Team by emailing ecc7@rsc.org,if you wish to transfer your registration.  The substitution will be made and no extra charge or cancellation penalty will be incurred.
